Job Title: Aesthetic Assistant  

Full Time: 35-40 hrs a week

Location: Esthetic Finesse Botox and Filler Studio located in Paradise Valley, Arizona.

We are seeking a dynamic and dedicated Office Manager / Receptionist to join our team. The successful candidate will play a key role in providing first-rate service to our patients and assisting Diane in a variety of ways. This individual will manage patient interactions, administration, and inventory while ensuring a comfortable and well-maintained environment.

Key Responsibilities:

Patient Interaction:

  • Greet and welcome patients to the studio, ensuring they feel comfortable and supported.
  • Assist patients with pre-procedure paperwork and questionnaires / educational and informative videos as part of the check-in process.
  • Take pre- and post-procedure photos of patients for record keeping, comparisons, and marketing and upload them to Dropbox and keep Dropbox organized.
  • Clean and prep patients’ skin.
  • Assist patients in online financing applications if interested and needed.
  • Manage patient check-out process, including payment processing, next appointment scheduling, and Aspire/Alle points redemption.
  • Assist with transcription of annual treatment plans, providing guidance and support to patients by answering any questions, and making sure their profile on Aesthetic Record is complete and they are booked for their next service if they choose to be.
  • Ensure all patients are following us on IG.
  • Remind patients to give Diane a Google rating online to help her with her practice and SEO.

Administrative Duties:

  • Ensure all patient profiles and info are correct prior to their appointment at the beginning of the day, for anyone that isn’t complete make a sticky note reminding yourself what needs to be updated and update at the appointment.
  • Ensure all necessary documentation is signed and filed, maintaining up-to-date records.
  • Upload necessary content to Dropbox in a timely and organized manner.
  • Utilize Aesthetic Record software to manage patient data and appointments.
  • Review all treatment plans for patients, upload to AR and add sticky notes to AR

 

Inventory Management:

  • Conduct weekly checks of product and supply inventory, placing orders as necessary.
  • Pre-load toxin syringes for upcoming procedures.
  • Stock and maintain snack bar and drinks fridge, ensuring a welcoming environment for patients.
  • Manage inventory tracking and ordering utilizing Microsoft Excel.

Facility Maintenance:

  • Organize areas as needed, ensuring a clean and orderly environment.

Procedure Assistance:

  • Assist with procedures as needed, ensuring the practitioner has all necessary supplies and equipment.
  • Take pictures and videos for social media content.

Skills and Qualifications:

  • Prior experience in a medical or cosmetic practice is preferred.
  • Exceptional communication and interpersonal skills.
  • Attention to detail and strong organizational skills.
  • Ability to multitask in a fast-paced environment.
  • Proficient in office equipment and computer software, including Microsoft Excel and CRM software.
  • A basic understanding of medical terminology and procedures is advantageous.
